Details of the conference can be found at IMTAL Americas go to www.imtal.orgSydney Conference: proposed date 22-24 AprilMichael Van Tiel (Powerhouse), Scott Andrew (National Maritime Museum) and Australia Museum are partnering to host the next IMTAP conference in Sydney 22 -24 April.The theme is ‘inclusion’ and is probably very timely.Please everyone think about the dates and the theme and what you might be doing and what you might be able to offer Michael and Scott and probably contact them directly:sandrew@anmm.gov.aumichaelv@phm.gov.auMichael & Scott plan to model the conference on the most recent Melbourne model and possibly offer an optional day 3.Office bearers ??? We need to establish a committee so we are clear about roles and expectations rather than inviting all members to every meeting.As we are waiting for information from MA we have not furthered this idea. Some of it may just be a matter of transferring stuff form MV website and contacting NMA about any info they may have. We could get our members to forward pictures or info on museum theatre programs they are doing and profile them on the site. The mission statement will need to be formally written at a later date.Formalising the organisation SIG or Inc.ACTION: The committee decided that being a SIG (Special Interest Group) under the umbrella of Museums Australia (MA) would be a good way to start because MA could provide support in financial management and staff. (Patrick also noted that running an Incorporated group was sometimes onerous.)ACTION: Lyn Beasley will forward to Patrick Watt relevant paper work.ACTION: Lyn Beasley notes that MA will have to ratify IMTAP as a SIG at their next AGM (May 2009) in Newcastle. Lyn will seek to have this matter added to the MA AGM Agenda.STOP PRESS: A week after the meeting Lyn Beasley sent this:I spoke to Marie Woods this morning about making IMTAP part of Museums Australia and we don't have to wait for the conference. What it needs is a letter to the MA Council which includes such things as who we are and what we do. ie Aims and Objectives. It also needs to be signed by ten people preferably who are already MA members. This needs to go before the next Council meeting, which will be a phone in around the 10th December. If the letter comes to me I can sign it as well as endorse it to council as I am on the MA Council. Also so that you can let people know the by laws were changed earlier this year and it is now much easier to form a group where a number of members are not necessarily directly affiliated to MA or work in Museums.So Patrick put a letter together and nominated people from the meeting, MA members and representatives from different states and territories.The Letter is attached at the end of the minutes.It is currently being signed and passed around. We only need 10 signatures and we need to get it back to Lyn on time.Thanks Lyn for being on top of this. Thanks to those that are getting it signed.Marie also suggested that if we get this passed in December it would be good to contact the organisers of the Newcastle conference and organise to have a meeting room at some time during the conference. We may also like to see if we can get some time to do a small presentation at the conference.ACTION: At our Febraury meeting we will determine agenda and place for meeting at Newcastle.IDEA: It might be nice to have a poster display of who we are and what we have achieved already over the years.IDEA: It would be nice to have an IMTAP banner / badges to wear etc at these functions.ACTION: There are no fees yet. The committee is completely voluntary. Members of MA may have to pay a $15 annual SIG fee (for insurance purposes etcPost meeting Clarification from LynA SIG/network does not have to have a fee, MA members are covered under MA anyway. The small fee that some networks charge is so that they have some administrative money to assist with meetings, functions etc. Also it gives a small charge that can be levied against non MA members to just account for administrative costsACTION: MA allows for associate members too who only have to pay a very small fee. MA also has a sliding fee scale. (IMTAP does not want people to be excluded because of costs.)ACTION: Great news (From Lyn Beasley): today Wednesday 10th December) the Museums Australia Council voted unanimously to accept IMTAP as a SIG/Network group.Lyn reported that an official letter will be sent soon.Thank you to all the people that had to sign documents etc. The cause has been won.ACTION: We currently have (as of 21/11/09) 59 members (people who signed the form at the ROV conference or have since contacted Patrick or Nadya. Patrick is slowly entering the data into a database. So far all names, institutions and email address. Volunteers are required to complete and check details.Publicising the organisation / getting people to be a part of the organisation.ACTION: ROV was successfulACTION:§ Formation of an editorial committee§ The editorial committee to develop a style guide proposal (one could start by checking out existing journals for examples)§ Propose different options for the organisation of the online publication e.g., themed issues or themed sections in each editionThe following people will form the editorial committee: Gerry Boland, Jody Kingston, Jo Clyne and Patrick Watt. (More members welcome)ROV review:ACTION: It was an excellent conference and responses and evaluations will be posted on the web site soon.Plan for representation at Monterey in 2009Plan for 5th National Forum: or the 1st IMTAP conference in the Asia Pacific region in 2010 (Michael from Powerhouse Museum: I have also spoken to the Australian Museum and the Australian National Maritime Museum and we would formally like to put our hand up to host the 5th Forum in 2010.ACTION: The committee accepted and endorsed Michael’s bid to host IMTAP 2010.Plan to host IMTAL conference in Melbourne in 2011 and to be announced at the Monterey IMTAL conference in August next year. ACTION: Accepted.Have spoken with Nathan (Collette Brennan): The Edge, SLQ in 2012Meeting # 2 will probably take place in Newcastle at MA conference.Anne Thoday: Great minutes Patrick.
